FERPA protects a student's Social Security Number, Race/ethnicity, citizenship, nationality, gender, grades, grade point average (GPA) and class schedule from being designated and released as directory information. Employees with research needs who request the prohibited information needs IRB approval IRB Website.

For employees who require access to protected data for legitimate operational and business purposes, please email Molly Baur in the Registrar's Office ([email protected]) to obtain email approval. Upload your proof of approval along with your data request order.

Please upload your IRB approval or Registrar's approval email when you submit your data request order.

Important:
You will be prompted to log in using the same username and password you use to log in to your work computer. If you have any issues accessing the site or encounter any errors please email the [email protected] or call them at 903-468-6024.

Where do I go to run WebFOCUS Reports?

  1. Go to the Banner Applications
  2. Under the WebFocus header click on the Access WebFOCUS link
  3. Login with your TAMUC username and password

Do I need VPN to access WebFOCUS Reports?

If you need to access reports from home or Travel – Yes. If you do not have VPN installed on your computer please visit the following CITE knowledge article: VPN Client.

  • The WebFOCUS Reporting Committee highly recommends that all WebFOCUS Report Users seek out Microsoft EXCEL training with the Training and Development Office at A&M-Commerce.
  • Excel training provides the Report User with the necessary tools to ensure the successful manipulation of reporting data and provides a better understanding of how to turn that manipulated data into meaningful data with the use of graphs, charts, and pivot tables!
  • The WebFOCUS Reporting Committee highly recommends that all new and existing WebFOCUS Report Users attend a WebFOCUS Training class. This training can be scheduled on an as-need basis.

WebFOCUS and FERPA

The data contained in WebFOCUS reports may be subject to FERPA. 

The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C. § 1232g; 34 CFR Part 99) is a Federal law that protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education. Please note; FERPA violations may result in the loss of federal funding for the university. Any breach of confidentiality could lead to disciplinary action, including the possibility of termination of employment. Please reference System Policy 01.01 System Polices and Regulations and Member Rules and Procedures for further information.

How to find Banner form and field names

When requesting a report be created or updated it is extremely helpful if the Banner form and field names are provided in the email to the helpdesk.

To find the Banner form and field names:

  1. Log into Banner
  2. Open a Banner Form (ex: SGASTDN)
  3. Enter a Student ID and click Tab
  4. Click Next Block
  5. Put your cursor in the Residence field
  6. Select Help from the top menu bar of SGASTDN
  7. Select Dynamic Help Query from the drop-down menu
  8. A pop-up will appear listing the Form, Block and Field information

Copy the information in the Field block and add this to your email.

An example of a request would be: Please add Residency from SGASTDN (SGBSTDN_RESD_CODE) to my report.

Running Deferred Reports

Have a report that takes forever to run? Why not run it in deferred mode?

To Run Deferred:

  1. Right-click on the report you wish to run
  2. Select Run Deferred
  3. You will see the Parameters window appear. Enter your report parameters
  4. After you click Run you will see a Deferred Report Notification window
  5. Close the Notification window as well as the Parameter window

To view your deferred report(s):

  1. Click the Tools link located on the top right-hand corner toolbar in the WebFOCUS Portal
  2. From the drop-down menu select Deferred Status
  3. You will see the Deferred Report Status window. This list includes all deferred reports you have run or are running in the last 30 days
Important:

Deferred report output is available for 30 days. After 30 days the report will need to be run again. You can run multiple reports in deferred mode.
