Graduate Council
The Graduate Council formulates and recommends policies and procedures related to graduate education to the president of the university. Faculty membership on the Graduate Council is limited to members of the graduate faculty from each academic college and a doctoral and a master’s/specialist student.
The Graduate Council has three standing committees: Administration, Curriculum, and Graduate Faculty Research and Instruction. Committees are chaired by members of the Graduate Council and composed of members selected from the Graduate Council members.

Graduate DegreeWorks
Graduate DegreeWorks is a web based planning tool to help students and advisors monitor student’s progress toward degree completion. DegreeWorks is not a substitution for consultation with an academic advisor. DegreeWorks shows the student in an easy to read format, the courses that must be completed to achieve their chosen degree. All currently enrolled graduate students who attend East Texas A&M University can use DegreeWorks. To generate a degree audit for graduate students a student must be enrolled in the catalog year beginning fall of 2010 and forward.
Graduate DegreeWorks is used by the Graduate School to clear students for graduation. Each semester departments are sent notification of the students that have applied for graduation. Faculty/staff are asked to review each student's DegreeWorks audit and verify that the student has met all departmental requirements.
To access DegreeWorks, faculty/staff will log into myLEO with the same username and password they use to access their computer. Access to Graduate DegreeWorks is provided by the Graduate School. Contact Grad DegreeWorks to request access. The DegreeWorks Training Guide provides log in information, basic worksheet features and other task information.
Faculty/staff who encounter an issue regarding Graduate DegreeWorks, have not been granted access or wish to request training should contact Grad DegreeWorks.
Graduate Faculty Membership
Since the academic reputation of any graduate program rests upon the quality of its faculty, great care is given to the awarding of graduate faculty membership. The selection of graduate faculty rests with the Graduate Council. Graduate Faculty membership is limited to full-time faculty who have the terminal degree or its equivalent.
Graduate Faculty members can:
- teach graduate classes
- direct master’s theses
- serve on doctoral committees
- direct doctoral dissertations
Graduate Faculty membership minimum qualifications include:
- academic rank of assistant professor or above, or rank of assistant professional track faculty or above
- awarded the highest earned terminal degree in the teaching discipline
- competence as a scholar, including research capability and/or creative activity as evidenced by publications, creative endeavors and thesis or dissertation supervision.

Visiting Members
The University will recognize the graduate faculty status that the visiting member holds at their home institution. Anyone not affiliated with an institution of higher education will be evaluated on an individual basis.
Requests for Graduate Faculty membership and for visiting member status may be initiated by the head of the department in which the faculty member serves. All requests initially go to the departmental Graduate Faculty for a recommendation. The request is then forwarded through the department head, college dean and graduate dean for a recommendation from each. It is then sent to the Graduate Council, who makes the decision as to the type of membership to be awarded.

Temporary Graduate Faculty
Temporary status to teach graduate courses and/or serve on theses or dissertation committees by other faculty members who do not hold graduate faculty status can be granted by the Dean of Graduate Studies and Research. Information on such exceptions is submitted to the Graduate Council each semester and does not require Council action except in such cases as it deems necessary. Questions relating to Graduate Faculty membership should be directed to the Dean of Graduate Studies and Research.

Review of Graduate Faculty Membership
Each Graduate Faculty member’s and Visiting Member’s scholarly research, creative activity and involvement in the discipline and graduate education is reviewed by the Graduate Council every six years. The purpose of this review is to determine if the faculty member’s current Graduate Faculty status is appropriate and warranted. The review process is the same as for the initial selection process; however, the options open to the Council are more numerous and include:
- approve continued membership in the current status for six years,
- refuse to approve Graduate Faculty Status, or
- provide a three-year provisional term as graduate faculty. If this option is chosen, the faculty member must be reviewed again after three years and either approved for a regular six-year membership or dropped from Graduate Faculty membership. Graduate Faculty whose status is terminated may, after one calendar year, reapply for graduate status.
