Facilities and Construction Resources: Moving Guidelines

Faculty and staff requesting furniture or office moves should submit requests to Facilities and Construction at least seven days before the requested move date. Advance notice helps ensure movers, access, and any required property transfer documentation are coordinated before the move.

Scheduling a Move

  • Email all moving requests to Greg Stegall at least seven days in advance.
  • Include a phone number where you can be reached regarding the move.
  • Greg Stegall can be reached at extension 3244.
  • Standard moves are scheduled on Monday, Wednesday, and Friday.
  • Property transfers are scheduled on Tuesday and Thursday.

Note: Property transfer requests must be submitted through Robin Nabers in Financial Services.

Before the Move

To avoid delays, all furniture, cabinets, shelves and storage areas must be prepared before movers arrive.

Required Preparation

  • Remove all personal belongings.
  • Empty all refrigerators.
  • Box loose items from desks, pencil drawers, shelves, storage closets and file cabinets.
  • Empty all bookcases and shelving units.
  • Labeling boxes is recommended, but not required.
  • Leave packed boxes in the office, cubicle, storage area or file room where they belong.

File Cabinets

  • Four-drawer file cabinets must have the top two drawers emptied.
  • Lateral file cabinets must be completely empty.

Computers and Equipment

Movers are not permitted to disconnect computers, phones, projectors or other electronic equipment.

  • Employees or Information Technology (CITE) staff must disconnect equipment before the move.
  • Computers and phones must be unplugged by the user.

Wall-Mounted Items

Wall-mounted items such as pictures, calendars and shelving may remain in place; however, they could be accidentally damaged or knocked down during construction or moving activities. SSC and construction crews are not responsible for items left on walls.

Moving Limitations and Access

  • Movers do not transport extremely heavy or delicate items such as pianos or copy machines.
  • Movers do not provide boxes or moving supplies.
  • If movers arrive at the scheduled time and cannot access the area, they will wait 5–10 minutes before leaving. A new work order will then be required to reschedule the move.

A completed and signed Relocation Request Form must accompany any office relocation request.
